Trip Logistics

As your trip approaches, you will be assigned a Visiting School Coordinator. This Pali Institute staff member will be the main contact for all logistics, including:

  • Student paperwork
  • Class selection
  • Student group assignments (activity groups and cabin groups)

The Visiting School Coordinator will reach out to you two months prior to your trip. If you’re ready to get started on this planning, check out the Forms and Resources page for planning next steps!

The Pali Institute business office will also be in contact with you about billing for your trip. In planning for the trip, you can anticipate this timeline:

Timeline Payment Due
Upon booking the trip First deposit due within a month
120 days prior to the trip Second payment due
45 Days prior to the trip Final attendance numbers due to business office
30 Days prior to the trip Final payment due

Pali Institute bills schools for the current contract numbers as of 45-days prior to the trip. The school should submit any adjustments prior to this date to Billing@paliinstitute.com. Any reductions in student numbers after this point are only eligible for a 50% refund with a doctor’s note as to the reason for the absence.

Bus Scheduling

Arrival time should be between 10:30AM and 11:00AM, and busses should arrive on the day of departure between 9:00AM and 10:00AM to be loaded up with luggage and depart by 11:00AM.

Buses traveling to Pali Institute in winter months (November to May) should carry tire chains in accordance with CHP requirements. During times of snowstorms and inclement weather, the Pali Institute site remains open and operational. Consult your trip contract for further information.
